Working from home has its own fair share of benefits. Allowing employees to work from home is a great way to keep them happy and productive while also saving your company valuable money. This is a fundamental reason why many companies across the globe are switching to remote work. Therefore, having a work from home policy in place is now more critical than ever.

A work from home policy is a comprehensive document outlining the company's rules and regulations for employees that are working from home. This policy specifies who can work from home, rules and regulations, and what is expected of them. It also highlights how the employees’ work will be evaluated, what kind of support will be available, and all their legal rights.

Now it all boils down to one important question: How do you write a work from home policy?

Let's take a look at the following template together.

Policy Brief and Purpose Statement

You can start your work from home policy with a brief explanation of the policy's purpose. In this introduction, you need to specify who the document is intended for and explain what work from home means for your company. Finally, clarify why adhering to this work from home policy is crucially important.

Sample to follow:

This document describes [Company Name]'s work from home policy. It is intended for all employees, whether part-time or full-time, who plan to work remotely. It seeks to ensure that remote work arrangement is equally beneficial for both the employee and the company.

Eligible Positions and Employees

The following section in the work from home policy should cover the conditions that allow employees to work from home. Even if some businesses are entirely remote, the eligibility and criteria for working from home may need to be specified. For example, employees should work for a particular time before requesting to work from home, or the employee should live in the same city as the business location.

Sample to follow:

Employees can choose between temporary and permanent work from home options. To be eligible, they must have worked for [Company Name] for at least [X] months in a row, demonstrated a high level of productivity, and have no history of administrative policy violations.

Working from home is only permitted with the approval of a supervisor. Employees must notify their supervisor at least [X] days before starting a preferred work from home period.

All employees who want to work from home full-time must go through a three-month trial period. An HR representative and a responsible supervisor will evaluate their performance results at the end of these three months.

If the employee, manager, and human resources department all agree, a work from home agreement will be drafted and signed by all parties, after which a three-month trial period will begin.

Work from Home Expectations

You should always remember to clearly explain in your work from home policy the steps and best practices that every employee should follow. For example, be sure to mention which communication tools your employees should use while working from home or the technology they need to collaborate with their teammates.

This way, you will encourage job credibility among your remote employees and make it simpler for them to achieve their KPIs even when working remotely.

Sample to follow:

Employees who work from home must maintain the same productivity and efficiency level as those who work from the office. They must comply with the following rules in order to achieve this goal successfully:

Equipment: [Company Name] will determine the appropriate equipment needed for each work from home arrangement on an individual basis based on information supplied by the employee and the supervisor. Equipment such as Zoom, Slack, Microsoft Teams, Asana, and more. Each remote employee should have a stable internet connection and a work computer.

Working time: If remote employees work full-time, they are required to work [X] hours per week. If the remote employee works part-time, he or she must work [X] hours per week. However, employees can only work up to [X] hours per day if necessary. All remote team members must keep a precise daily record of hours worked in the tool determined by the company.

Team collaboration and communication: Employees working from home should join a meeting link for the working day. Whether on Zoom, Google Meet, or any other platform. Also, they need to be available on all communication tools that the team uses.

Performance: The performance of each remote employee should be tracked using the tools determined by the team leader or manager. Employees should report immediately to them if they encounter any delays or difficulties while performing a task.

Data Security

Employees who work from home are sometimes exposed to more security risks than those who work in the office. As a result, your work from home policy must contain guidelines for data security.

For example, you must thoroughly guide employees on how they can protect confidential company information or unpublished data and reports.

Sample to follow:

Remote employees are expected to protect the confidential information of the company that they have access to from their home office. To maintain security standards, all team members must:

  • Have a secure Wi-Fi network
  • Refrain from sharing confidential data with anyone
  • Use dependable antivirus and internet security software
  • Use strong passwords

Safety

Even if employees work from home, employers must cover any injuries incurred as a result of work-related activities. As a result, including such conditions and regulations in your work from home policy is the best way to keep everything clear.

You can include guidelines in your work from home policy on how employees can keep their working environment safe and comfortable. Moreover, you should add what the employee should do in the case of an injury.

Sample to follow:

Employees are responsible for keeping their home workspace secure and evaluating it regularly according to the safety checklist we provide. The company's compensation policy covers any injury an employee might get while working from home. Employees who work from home must report any injuries to their employers immediately.

Keeping it short

Working from home is here to stay. As a result, a work from home policy is now an essential document for all types of businesses. It helps companies keep track of their employees who work from home and protect them from any inconveniences. So, in order to write a comprehensive and effective work-from-home policy, make sure to incorporate the pointers we listed above.
